Running a school on your phone: fees, attendance and results

How a small school or academy can make fee vouchers, mark attendance, tell parents about absences and print result cards from one app.

Most small schools we talk to keep fees in one register, attendance in another and results in a third, usually on a computer that only one person knows how to use. At the end of the month the office spends days writing vouchers by hand and chasing parents who say they already paid.

Munshi's School module puts all of that in one place, on a phone or the office computer.

Getting set up

When you open School setup, pick a starter template: Pakistani school, Academy or Madrasa. It makes your classes, their subjects and the usual fee heads (tuition, admission, annual, exam, transport) in one go. Then you fill in how much each class pays. Leave a box empty if that fee doesn't apply.

Students can be admitted one by one, or imported from an Excel sheet if you already have a list. Brothers and sisters with the same guardian mobile number are put in one family, so the parent gets one voucher, not three.

Fee vouchers

Once a month you press Make vouchers. Each family gets one voucher with all its children, the sibling discount if you give one, and any old dues printed as arrears. The A4 voucher has three copies (parent, bank, school) and a QR code.

That QR opens a Pay fee page. Parents see the amount and your bank, JazzCash or Easypaisa account. If they pay that way, they send you the transaction ID, and the office confirms it. No more "I paid, check your account" arguments with nothing written down.

A late fine is added by itself after the due date, if you have set one. The defaulters list shows who owes what, with a reminder button next to each family.

Attendance

Teachers mark attendance on their own phone every morning. Everyone starts as present, so they only tap the children who are absent, late or on leave. Parents of absent children get one message that morning, on WhatsApp or SMS. In our experience that single message does more for attendance than any notice on the board.

Exams and result cards

Teachers enter marks subject by subject. Grades come from your own grading scale and positions are worked out, with ties sharing a position. When you publish, marks are locked and parents get a link to the result card. If you want, results can be held back for families with unpaid fees.

Who sees what

Teachers only see their own sections, and they never see a guardian's CNIC or address. The office handles admissions and fees. The principal sees everything, and gets an evening summary with the day's attendance and fee collection.

What it costs

The School module is Rs 599 a month after the free trial. If you want absence and fee messages to go out by themselves, add WhatsApp & SMS.
