A salary slip (payslip) tells an employee how their pay was worked out. Even a small business benefits from giving one: it stops arguments about cuts, and staff need it for bank loans and rent agreements.
What a slip should show
Top: business name, employee name, employee number, designation, and the month.
Attendance: working days in the month, days present, leave taken, absences and overtime hours.
Earnings:
- basic salary
- allowances (house rent, conveyance, medical, if you give them)
- overtime
- commission or bonus
Deductions:
- advance or loan instalment
- absence or late deductions, if your policy has them
- income tax withheld, if the salary is taxable
- EOBI or provident fund, if the business is registered for them
Bottom: gross pay, total deductions, net pay, and how it was paid (cash or the bank account).
An example
| Rs | |
|---|---|
| Basic | 35,000 |
| Overtime (10 hours) | 2,500 |
| Commission | 3,000 |
| Gross | 40,500 |
| Advance instalment | −5,000 |
| 1 day absent | −1,167 |
| Net pay | 34,333 |
Keep the slip in the same format every month, so a change stands out.
Tax and EOBI
Rules for income tax withholding and EOBI depend on the salary and on your registration. Check the current rates with your tax adviser rather than copying last year's numbers.
Making slips without a spreadsheet
Munshi's HR and payroll software works salary out from attendance, takes off advances and loan instalments, and sends each slip to the employee's phone. The bank salary file comes out of the same run.
