Fingerprint attendance machine with payroll: how it works
How a ZKTeco or other biometric machine sends attendance to payroll, what to check before you buy one, and a cheaper QR card option.

A fingerprint machine on the wall stops proxy attendance overnight. But many businesses buy one and still do salary by hand, because the machine's data never reaches payroll. Someone exports a file from the machine, opens it in Excel, and starts typing again.
Here is how it should work, and what to check.
How the machine talks to payroll
Most machines sold in Pakistan (ZKTeco and its many rebrands are the most common) can send each punch over the internet, the moment it happens, to a server address you type into the machine. This is often called ADMS or push in the machine's menu.
Once it is set:
- A worker puts their finger on the machine at 9:04.
- The machine sends "employee 27, 09:04" to your payroll software.
- The software matches 27 to the person, checks their shift, and marks them present and 4 minutes late.
- At month end, payroll already knows every day, every late and every overtime hour.
No USB stick, no Excel.
Before you buy a machine
- Ask for ADMS or cloud push. Some cheap models only export to USB. Those work, but you will be importing files every month.
- Fingerprint plus face or card. Fingers of labourers and cooks often wear down; face or card is a useful backup.
- Internet at the machine. Wi-Fi or a LAN cable. If the internet drops, a good machine stores punches and sends them later.
- Enough capacity for your staff, plus room to grow.
The cheaper option: QR cards
For a shop, a restaurant or a small office, a fingerprint machine may be more than you need. A printed staff card with a QR code, scanned on a phone or tablet at the door, does the same job: time, place and who.
What happens after the punch
The attendance is only useful if it turns into salary:
- shifts and night shifts that cross midnight
- lates, half days and overtime
- leave that is approved in the app
- per-day cuts and overtime at the rates you set
Munshi works with ZKTeco machines over push and with QR staff cards from any phone. Attendance goes straight into HR and payroll: shifts, leave, overtime, slips and the bank salary file. For a smaller team, see the staff attendance app. Start free and connect your machine in the first week.
